Parish Pastoral Council Meeting Minutes - October 12, 2006
  • Acceptance of the Minutes from September 14, 2006.
  • There were only four participants at the beginning of the meeting. Fr. Dave was attending the Parish finance Committee meeting and attended late in the evening.
  • A few Housekeeping items were discussed:
  • Tim Garvin sent in his resignation and will not join us for the council. He sends his love and prayers to the council and its members.
  • Ed indicated that the Parish Website still has Fr. Butler on the PPC and suggested that it be changed. Charlie will take action to remedy this.
  • We began a discussion of the Buildings and Grounds issue.
    • The electrical light issues were raised and it was decided that Bob Norton would be responsible for this service to the outside lighting and the inside switches in the sacristy.
    • Action: Charlie will call Bob Norton and report next month on the buildings and ground. The thought was to have a committee for this and that. Charlie gave a short historical perspective of the Buildings and Grounds efforts. If a committee was formed, then a list of items to address would need to be created.
    • Action: Dave will take the lead of putting a draft together by November meeting for discussion.
  • Next was the discussion of the Buildings and Grounds Committee would look like. Thoughts were captured as follows:
    • Committee members would stand for two years and be both a organizer and a doer group of people. The committee would decide what needed to be done to maintain the church buildings and grounds with a schedule of preventative maintenance prepared and updated regularly. The committee would then monitor the physical plant and other regular items such as air conditioning units, and other small jobs. This group may have a split responsibility with Raymond to do the work where others in the church community may also be able to some of the jobs.
    • The PPC would draft a Buildings and Grounds Committee description and be in charge of interviewing the new committee’s members.
    • The rectory and the church buildings would be included in the scope of this committee responsibility.
  • Open discussion was requested by Fr. Dave:
    • Issue of Monday meetings given to the AA group during the summer. They continued to have this for the fall. Cub Scouts now had a conflict since they previously had Monday nights during the school year. Fr. Dave requested a decision assistance of reinstating the Cub Scouts to Monday or leaving it to the AA meetings.
    • Decision: The PPC members in attendance decided that the AA group should have the Monday meeting night in the lower hall, while the Cub Scouts would need to move their meetings to another night.
  • Garden Committee:
    • The garden committee was further discussed from September meeting. Several activities still needed to be done before the winter to close the garden.
    • The discussions lead to how to organize the committee where currently two families (Dimasi and Aylaian) were working on it for the past several years.
    • A new family has stepped forward and would be interested in organizing the activity as a committee. They already have some ideas of their own. This will be a chance to organize a formal garden committee under their lead. The PPC should come up with a job description and a charter for the Garden Committee.
    • It was suggested that the new family as well as the two current families come in to the PPC meeting to meet with us to discuss the needs for the garden to be continued and maintained through the summer months.
    • Action: Ed will contact the Dimasi and Aylaian families to come to speak with the PPC in November to begin the transition.
    • The new Garden committee would be formed in the winter months and then meet prior to the 2007 season to coordinate its activities.
  • Next there was a brief discussion on the Youth Activities Group:
    • There will be a youth movie night in November for middle school children which will include:
      • Mass, a talk with a leader, and then the movie
      • The Chronicles of Narnia will be shown that night on November 11, 2006.
      • Flier will be sent through the schools.
    • No further discussion on a Youth Activities Group since there were not enough members present.
  • The next meeting will be held on November 9, 2006 at 7:30 PM.
